Job Description
We are seeking a dedicated and resourceful Executive Assistant to provide high-level support to our CEO at Project Assistant, enabling them to focus on strategic leadership and core business activities. This role involves managing daily operations, handling errands and logistics to minimize time spent in traffic, and acting as a reliable ‘go-to’ person for various tasks in a fast-paced digital agency environment. The ideal candidate will excel in anticipating needs, coordinating with internal teams, and ensuring seamless execution of priorities while maintaining confidentiality and professionalism. You will play a key role in optimizing the CEO’s schedule and productivity, contributing directly to the agency’s growth in serving US clients with innovative web solutions.
This position is based in Cebu City, with a mix of remote and in-person responsibilities to support local needs, and offers opportunities to engage with the vibrant Cebu tech scene. Responsibilities include sourcing local information on tech events, networking opportunities, and industry trends to keep the CEO informed and connected. Responsibilities
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements to optimize time and avoid unnecessary commutes.
- Handle personal and professional errands, such as coordinating deliveries, managing local vendors, and running tasks to free up the CEO from traffic-related delays.
- Source and compile local information on the Cebu tech scene, including upcoming events, networking groups, and industry updates for strategic decision-making.
- Coordinate communications with internal teams and external partners, drafting emails, preparing documents, and following up on action items.
- Assist in organizing executive-level meetings, preparing agendas, taking notes, and ensuring follow-through on decisions.
- Monitor project timelines and provide reminders to keep the CEO aligned with agency goals in web development and client services.
- Conduct light research on business opportunities, competitors, and tech trends specific to Cebu and the Philippines.
- Oversee administrative tasks like expense tracking, file organization, and managing confidential information with discretion.
- Support event planning for local networking or team-building activities in the Cebu area.
Experience
- 3+ years as an executive assistant or similar role supporting C-level executives in a dynamic environment.
- Proven track record of managing complex schedules and logistics, particularly in urban settings like Cebu to minimize travel time.
- Experience sourcing local market intelligence, such as tech events and networking opportunities in the Philippines.
- Familiarity with digital agencies or tech industries, including tools for project management and collaboration.
- Background in handling confidential matters and multitasking under tight deadlines.
- Prior work with global teams, understanding time zone differences for US-based clients.
- Experience in event coordination or community engagement within local business scenes.
Skills
- Exceptional organizational abilities to juggle multiple priorities and anticipate executive needs proactively.
- Strong communication skills for drafting professional correspondence and interacting with stakeholders.
